What is an Appraisal Letter?

An appraisal letter or a performance review letter is a formal document used to communicate the results of an employee’s performance review.

It records the review period, overall rating, key feedback, and any resulting changes to pay, bonus, or job title.

Why is an Appraisal Letter Important?

It provides a clear record of the review outcome and the effective dates for any compensation or role changes.

It also guides goals for the next cycle and supports HR, payroll, and compliance documentation.

What’s Included in an Appraisal Letter?

A standard appraisal template usually includes:

  • Employee’s name and ID
  • Job title and department
  • Review period (start and end dates)
  • Overall performance rating
  • Summary of achievements and areas for improvement
  • Compensation outcome, if applicable
    • Merit increase amount or percent and effective date
    • Bonus amount and payment date
  • Promotion or title change, if applicable
  • Goals and development plan for the next period
  • Next review date
  • Acknowledgment and signature fields

Is an Appraisal Letter the Same as a Promotion Letter?

No. An appraisal records performance and outcomes for the review period.

A promotion letter confirms a change in role or title. An appraisal may lead to a promotion, but it is a separate document.

Can an Employee Dispute the Appraisal?

Yes. Employees may request a review meeting or submit an appeal according to company policy. Include the contact person and the time frame for appeals in the letter if your policy requires it.
